Phase 1: Deal Execution
This module outlines the communications steps to follow when an announcement on a new property is about to be made.
Step 1
Draft hotel announcement release
- Tasks:
- Developer/owner submits high-resolution renderings to
Starwood corporate PR
- Customize template release with official hotel name, location and address, projected groundbreaking and opening dates, hotel details, quotes from brand and developer.
- Obtain Starwood’s approval. Refer to the Starwood Press Material Approval Process document in the General Downloads section of this toolkit.
- Distribute release to local, regional, business and trade media (Starwood to handle trade distribution). Refer to the Electronic Standards for Distributing Press Materials document in the General Downloads section of this toolkit.
- Perform follow-up media pitching to local, regional, business and trade media (Starwood to handle trade pitching). Refer to the Starwood Media Request Policy documents in the General Downloads section of this toolkit.
- Monitor for coverage and compile results in a media tracker and clip book

Phase 2: Groundbreaking
This module outlines the communications steps to follow starting from groundbreaking through the topping off period (approximately one year from the property’s grand opening).
Step 1
Develop groundbreaking event concept
- Tasks:
- Brainstorm/finalize event concept; note any brand specifications for groundbreakings. Review Step 3 and read the attached event checklist and event agenda. All event concepts need brand/Starwood corporate PR approval.
- Coordinate with Starwood brand representative to identify who will attend the event from Starwood corporate.
- Send save-the-date to Starwood corporate staff attending and corporate PR.
- Outline details: date, time, location, budget.
- Determine responsible party — developer/owner and/or developer PR firm.
- Timing:
- 10 weeks prior to groundbreaking

Step 2
Coordinate media relations related to groundbreaking
Step 3
Coordinate event details for groundbreaking event
- Tasks:
- Develop groundbreaking event planning timeline. See “suggested timeline for this step” below in the “Other Tips/Instructions” section to use as the basis for customizing your own timeline.
- Developer and Starwood/brand to co-develop targeted guest list (including elected officials, community leaders, local/regional media, future customers/local businesses). Contact local elected and community officials to determine availability for the event date.
- Develop and distribute invitations (including Starwood corporate staff who received save-the-dates). Refer to the Brand Standards Guide and Starwood Brand Approval Process documents in the General Downloads section of this toolkit.
- Outline and coordinate event logistics (i.e. photographer, videographer, A/V needs, catering, event signage/logos, power, staging, etc.).
- Create event agenda.
- Draft speakers notes for relevant parties.
- Produce branded event materials (marketing materials and premium items). Refer to the Brand Standards Guide and Starwood Brand Approval Process documents in the General Downloads section of this toolkit.
- Monitor for coverage and compile results in a media tracker and clip book

Step 4
Coordinate pre-event set-up for groundbreaking event

- Install construction signage and tent
- Coordinate move-in of any equipment (i.e. A/V, power, staging, etc.)
- Set up catering, branded premium items and collatera
- Coordinate other pre-event set-up (i.e. compiling goodie bags, etc.)
- Host dry run of event

Step 5
Host groundbreaking event
Phase 3: Ramp-up
This module outlines the communications steps to follow starting after the topping off period through the ribbon-cutting event. The bulk of activity includes the final six months prior to the ribbon-cutting event.
Step 1
Secure PR agency (if not applicable, proceed to Step 2)
- Tasks:
- Issue RFP to local PR agencies
- Review solicited proposals; select 3 finalists
- Contact finalists; issue finalist notification document
- Host finalist presentations
- Select agency
- Timing:
- Begin 8-9 months prior to ribbon-cutting event and allow 6-8 weeks for completion
- Responsibility:
- GM/DOSM or franchisee (if desired)

Step 2
Brand immersion for in-house management (GM or DOSM) or retained PR agency
- Tasks:
- Starwood will send a welcome email to the in-house management and/or PR agency introducing “Open HOT PR Toolkit” (available online), database registration forms and other resources.
- PR agency will be added into Starwood system so it can receive ongoing brand updates, participate in brand Webinars (as needed), etc.
- Starwood corporate PR will review the brand video and the following documents with franchisee, GM/DOSM and/or retained PR agency: Electronic Standards for Distributing Press Materials, Starwood Media Request Policy, Starwood Material Approval Process and Starwood Brand Standards Guide. Each of these documents can be found in the General Downloads section of this toolkit.
- Optional: Each brand to host additional immersion training sessions, if desired.

Step 3
Develop ribbon-cutting event concept
- Tasks:
- Develop ribbon-cutting event concept and outline logistical details (date, time, location, budget). Review step 5 and the event checklist and event agenda. Note any brand specifications for ribbon-cuttings. Obtain brand/Starwood corporate PR approval.
- Coordinate with Starwood brand representative to identify who will attend the event from Starwood corporate.
- Send save-the-date to Starwood corporate staff attending and corporate PR.

Coordinate media relations
- Tasks:
- Create key messages for property
- Develop targeted local, regional, national business and trade media lists (Starwood to assist with trade media).
- Draft/distribute/pitch press materials on general hotel news to appropriate media outlets. Some ideas to consider include the following:
- Personnel announcement release on appointment of GM and Director of Sales/Marketing (DOSM)
- Other personnel announcement releases (i.e. celebrity chef)
- Restaurant/bar press release (if applicable)
- Featured amenities release (i.e. spa)
- Hotel general release (weaves in ribbon-cutting event)
- Group meetings/banquets release
- Leisure/weekend traveler package release
- Personnel openings release
- Draft/distribute media materials for ribbon-cutting event:

- Pitch unique story ideas regarding the property.
- Develop various pitch angles and story ideas for property.
- Develop pitching timeline for long-lead and short-lead media. Include print and broadcast. Pitch according to plan.
- Develop photo shot list. Host photo shoot.
- Host press visits.
- Develop a press property tour strategy (pre-opening and post-opening). Obtain feeder market list from DOSM for ideas. Pitch/invite media. Coordinate logistics and implement property tours per outlined schedule
- Conduct Editor 101’s – media briefings with key editors in the market to educate them on the property.

Step 5
Plan/coordinate ribbon-cutting event
- Tasks:
- Develop ribbon-cutting event planning timeline. See “suggested timeline for this step” below in the “Other Tips/Instructions” section to use as the basis for customizing your own timeline.
- Develop guest list (media, elected officials, community representatives, etc.). Secure date with VIPs.
- Create and distribute invitations (including Starwood corporate staff who received save-the-dates). Refer to Brand Standards Guide in the General Downloads section of this toolkit.
- Outline and coordinate event logistics (i.e. photographer, videographer, A/V needs, catering, event signage/logos, power, staging, etc.).
- Create event agenda.
- Draft speakers notes for relevant parties.

Host ongoing communication

Phase 4: Grand Opening Event
This module outlines the communications steps to follow to plan a successful grand opening event (planning should begin one month prior to the official public opening/ribbon-cutting and the grand opening event likely will occur about one month following the ribbon-cutting).
Step 1
Develop grand opening event concept
- Tasks:
- Develop on-brand event concept for grand openings. Review step 3 and read the event checklist and event agenda. All event concepts need brand/Starwood corporate PR approval.
- Coordinate with Starwood brand representative to identify who will attend the event from Starwood corporate.
- Send save-the-date to Starwood corporate staff attending and corporate PR.
- Outline details: date, time, location, budget.
- Determine if you need outside assistance from a PR firm.
